Description

Main Job Purpose:

A Records Management Specialist is responsible for organizing, maintaining, and protecting an organization's records and information. Their role is crucial in ensuring that records are easily findable, accessible, secure, reusable and comply with legal and regulatory requirements.

Core Responsibilities:

Develop and implement a hospital-wide records management systems, including classification, indexing, and filing systems of patient records.

Maintains both physical and electronic records in an organized manner to ensure quick and efficient retrieval.

Regularly reviews and updates records to ensure they are accurate, up-to-date, and compliant with organizational policies.

Coordinates the storage, retrieval, and disposal of records in accordance with the organization's retention policy.

Ensures that records management practices comply with legal, regulatory, and organizational requirements.

Implements security measures to protect sensitive and confidential information from unauthorized access or breaches.

Develops, implements, and enforces records management policies and procedures across the organization.

Provides guidance and continuous training to SKMTH staff on records management best practices.

Oversees the proper disposal of records that are no longer needed, ensuring that it is done in a secure and compliant manner.

Documents the destruction of records in line with legal and organizational guidelines.

Utilizes and manages records management systems to maintain electronic records.

Collaborates with IT departments to ensure the integrity and security of electronic records.

Requirements

ROLE REQUIREMENTS

Qualifications:

Bachelor's degree in Health Informatics, Healthcare Administration, Information Technology, or a related field. Strong knowledge of healthcare regulations and standards related to health information systems.

Experience:

At least 6 years post qualification experience

Key Competencies:

Proficiency in records management software

Attention to detail in maintaining accurate and complete records.

Excellent written and verbal communication

Collaboration

Understanding of laws and regulations related to records management, including data protection and privacy laws.

Strong organizational skills

Strong analytical skills
