About This Role
The Logistics Officer General Service plays an important support role in the functioning of the CO and ChildFund’s donors and partners. It requires proper work organization, timeliness of response and initiative. It also requires a thorough monitoring of all logistical needs and linkages with other departments to accomplish this important support function, ensuring regular contact, consultation and engagement with the HR/Admin Specialist and other staff to accomplish support needs of staff.
Required Experience And Education
• Minimum of three years’ work experience in logistics or a related field
• Degree or diploma in Logistics, Stores Management, or a related area
• Proficiency in Microsoft Excel and Word
Primary Responsabilities
Child Safeguarding
Remain alert and responsive to any safeguarding risks; acquire relevant knowledge and skills to enable you to understand the safeguarding policy and procedures; promote strong safeguarding practices; perform your duty and responsibility to safeguard, report violations, and promote appropriate behavior; and conduct yourself in a manner consistent with the organization’s policies and values.
Logistics
• Verify that office vehicles are serviced every 5,000 km and maintained on schedule.
• Review individual vehicle maintenance plans, ensure timely renewal of insurance for vehicles and bikes, and maintain reports and files for each vehicle.
• Coordinate fleet logistics for provincial trips, airport pickups, and local services.
• Ensure drivers complete daily vehicle cleanliness checks and maintain a daily vehicle checklist each morning.
• Calculate and review monthly vehicle fuel consumption rates.
• Confirm compliance with designated take-off and arrival times, including CO nighttime driving policies.
• Ensure official vehicles are parked at the office by 7 pm daily.
• Monitor adherence to road traffic laws, including speed limits, logbook usage, and timely accident/incident reporting within 12 hours.
• Verify that all staff operating organization vehicles/motorbikes hold valid driver’s licenses.
• Periodically update and apply the vehicle manual.
GIK (Gift in Kinds)
• Facilitate the clearing and forwarding of all ChildFund items, including gifts in kind.
• Update, reconcile, and maintain store records, producing monthly reports that include GIK goods.
• Verify that all items leaving the stores are properly issued, with copies shared with security.
• Coordinate with line ministries and shipping/clearing agents on GIK items.
Posting
• Ensure the collection and dispatch of sponsorship letters to the Post Office and manage dispatch of courier materials to UPS/DHL
Petty Cash
• Administer petty cash and manage reimbursements as needed
General Services
• Review facility-related needs, including property leases and asset management.
• Confirm that office generators are serviced regularly and on time.
• Oversee security systems, conducting periodic reviews; ensure security protocols are maintained, and provide clear guidelines to monitor the security of the premises.
• Perform any other duties as assigned by the Supervisor or Country Director (CD)
