Position Overview:
We are seeking an organized and proactive Administrative Assistant to provide comprehensive support and ensure the efficient functioning of our department and the company at large. This pivotal role will involve supporting HR and accounting functions, making it essential for facilitating team collaboration.
Key Responsibilities:
- Administrative Support:
Manage and organize files, records, and documents.
Schedule and coordinate meetings, appointments, and travel arrangements.
Prepare and distribute meeting agendas, minutes, and other relevant materials.
- HR Support:
Assist in preparing and processing employment contracts and onboarding documents.
Maintain employee records and update HR databases.
Lead payroll processing by gathering and verifying timekeeping data.
- Accounting and Financial Support:
Prepare and process invoices and payment requests.
Manage accounting records, including accounts payable and receivable.
Ensure timely payment of taxes and other financial obligations.
Prepare financial reports and assist in budget preparation.
Keep track of updates with clients and suppliers.
Assist in the communication with the banks
- Communication:
Serve as the first point of contact for internal and external inquiries.
Draft and respond to correspondence, emails, and other communications on behalf of the supervisor.
- Office Management:
Maintain office supplies inventory and place orders as needed.
Ensure a tidy and organized workspace.
Assist in managing office equipment and technology.
- Support for Team Projects:
Collaborate with team members on various projects and initiatives.
Provide administrative support during events, workshops, and meetings.
Qualifications and Skills:
- Education:
High school diploma or equivalent; a degree in administration, HR, or accounting is preferred.
- Experience:
Minimum 5 years of experience in an administrative support role, with HR and accounting experience preferred.
- Skills:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong organizational and multitasking abilities.
Excellent written and verbal communication skills.
Proficiency in English
Attention to detail and problem-solving skills.
Understanding of accounting principles and HR practices.
Ability to work independently and collaboratively within a team.
